Purpose
Under minimal direction ensure office runs smoothly supplies and equipment are available and working relationships are maintained with vendors landlords and building maintenance In addition this position supports regional and Key Account Management with business tasks to enhance customer service create efficiencies within departments and facilitate procedural changes
Key Accountabilities
Office Management
* Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws Responsibilities include interviewing hiring and training employees planning assigning and directing work appraising performance rewarding and disciplining employees and addressing complains and resolving problems between offices
* Oversee facility ensuring safety and security of building and employees This includes building maintenance and repair and the adherence of state and local regulations building and fire codes
* Manage the Corporate vendor accounts HVAC catering car service plant service maintenance agreements etc to ensure competitive pricing and programs are running pursuant to agreed upon standards Obtains and analyzes bids for major equipment and future purchases maintenance contracts and electrical work
* Set up and maintain files of documents and records ensuring accurate and logical organization of files control confidentiality of files as appropriate
* Develops new office procedures as well as clerical and product training programs Maintains Office Administration budget and initiate cost reduction programs when applicable
* Support new hires with seating phonecomputer set-up distribution of keys and alarm codes provide and explain point people for CS HR Sales etc
* Manage special Office Services request projects or logistics for major events
Regional and Key Account Support
* Assist managers and Reps with travel catering and preparation for Apparel Presell meetings which includes Excel templates presentation tools and overall presentation format
* Design and manage the footwear and apparel Sample process for the Pittsburgh showrooms
* Manage account changes and new account set up including submitting account changes to Portland and sending out new account information to accounts Process new account credit information and submit to Spartanburg
* Ensure all product catalogues are at required inventory and that each Sample Showroom is in required catalog order In addition ensure master product workbooks are highlighted and kept current and samples are returned following proper procedures
* Manage the office budget including paying bills on a timely basis managing office checkbook and petty cash fund
Knowledge Skills and Abilities
* Ability to respond effectively to the most sensitive inquiries or complaints
* Thorough knowledge of office procedures
* Ability to think strategically synthesize data and develop innovative solutions within an entrepreneurial environment
* Strong analytical organizational and administrative skills
* Exceptional communication skills both oral and written
* Ability to write speeches and articles using original or innovative techniques or style
* Proficiency in MS Office products Word Excel Outlook etc
* Ability to travel domestically as needed
Qualifications
* Associates degree from two-year college or technical school and a minimum four years of administrative experience andor training or equivalent combination of education and experience
* Managerial or leadership experience is preferred
