We are looking to hire a Management Assistant The purpose of this role is to provide administrative support to the Head of Brand Operations and the Head of Apparel Operations as well as the respective teams in terms of organization and controls
Key Responsibilities
* Provide administrative support to the Head of Brand Operations and the Head of Apparel Operations as well as the respective teams in a confidential manner
* Manage various organizational tasks including business travel arrangements Flights hotel transportation visas etc internal and external meeting organization and event coordination
* Manage the Department-wide travel and vacation calendar to optimize opportunities and reduce redundancy
* Calendar management schedule appointments and events coordinate arrangements for meetings and events distribute agendas
* Prepare expense reports for department heads
* Supervise department functions including working with Controller oversee Cost Center tracking obtain updates and cross-check for accuracy
* Prepare emails presentations letters and other written materials for distribution Ensure high quality of communication in language accuracy and format
* Manger flow of work throughout the office mail office supplies IT requests space moves etc
* Recommend and implement improvement to administrative processes and functions within department Primary liaison for all regions within the department serve as the ‘resident expert’ for the global team
* Own and distribute organization charts for the department and communicate all new hires and organization change announcements
Knowledge Skills and Abilities
* Excellent MS Office working knowledge
* Excellent organizational skills and ability to prioritize
* High flexibility concerning working hours and general availability
* Ability to manage multiple priorities
* Ability to work independently
* Excellent interpersonal and verbal and written communication skills
* Ability to maintain confidentiality
Experience Education
* Bachelor’s Degree or equivalent work experience
* At least 3 years work experience
