This role is responsible for maximising the profitability of the Centre of Excellence COE Retail by providing a high level of administrative support to assigned Senior Managers and also a level of support to the direct reports to ensure efficient management and running of the daily business
Key Responsibilities
* Perform administrative secretarial and partly personnel related duties for assigned Senior Managers this may include answering phones filing invoicing expense claims etc Work proactively to understand and accommodate each managers personal preferences around day to day operations
* Manage and protect the time of assigned Senior Managers to ensure smooth running of hisher calendar including booking appointments and rooms but also to prioritise business critical meetings are given priority
* Manage all travel arrangements for Senior Managers and associated bookings and appointments to ensure all travel is smooth and hassle free
* Route and answer routine correspondence including emails not requiring Head of’s attention where required
* Organise meetings and events as assigned including venue guest accommodation & travel catering entertainment technical equipment take minutes etc Seek to understand and meet the needs of various event stakeholders Retail Management guests
* Work with the Personal Assistant to the Chief Sales Officer and the Global Retail Administration team to implement shared best practice processes Ensure all members of the administration are using common processes and templates
* Maintain an extremely high level of confidentiality and apply discretion to all files materials and communications
* Act as the team expert for all administrative processes Teach and employer members of your departments to understand and follow administrative processes Provide general administrative support for the team where priorities allow
* Complete new hire set up and training ordering computer cell phone office phone corporate card ordering stationary and furniture and train all new employees on Global Retail administration processes Update organisation charts as employees join change roles or leave
* Manage all office supplies for assigned departments This may include ordering stationary furniture and managing problems with printerscopiers etc
Qualifications
* Advanced user of MS Office suite of products
* Fluent in English
* An additional European language is an advantage
* University degree andor commercial training in the area of Finance Accounting Economics Marketing or Sales is preferred
* 2-3 years administration experience
